Proctored Exams

Some of the UT Dallas School of Management online courses require a proctored final exam. Students should check the course syllabus for this information. If a course does require a proctored exam, the student should follow the guidelines and procedures below.

Two Options Available for Taking a Proctored Final Exam:

  • New procedures for on-campus proctored exams: Local students can now take their exams on-campus at the UT Dallas Testing Center (no fee charged).  Please see the Testing Center web page for more information. Please be sure to view and follow the Test Center policies and check the hours of operation.  Any electronic devises and personal items are not allowed in the testing center unless permitted by the instructor (lockers are available for testing center purposes). Students can just walk in to the UTD Testing Center to take the exam during the required exam test window of each course (as specified in the syllabus or by the instuctor). The UTD Testing Center is located in the McDermott Library basement (Room MC 1.304).  When you arrive to take your exam, you will sign in with your Comet Card (or a photo ID & UTD ID number if you do not have a Comet Card).  The testing center seats are available on a first come, first served basis. You are encouraged to take the exam at the early part of the test window to avoid any possible seat unavailability.
  • Students who find UTD geographically inconvenient may use a testing service of their choice to have their exam proctored.  (Please see Procedures for Arranging an Individual Proctored Exam below.)  All exams must be completed within the required exam time window as indicated in your course syllabus.  All students must inform the instructor, as well as the UT Dallas eLearning Team (proctoredexam@utdallas.edu) of their testing location.  A proctored exam form must be completed and submitted according to the date outlined in your course syllabus.  Please note students are responsible for any fee charged by the off campus testing center.  All completed exams must be received by the date outlined in your course syllabus to allow timely grade reporting to the UTD Registrar.

The UT Dallas eLearning Team requests all students strictly follow the proctored exam scheduling deadlines.  If any student needs special accommodations, please seek the instructor’s approval in advance.  If you have any questions about using either UTD or outside testing center service, please email proctoredexam@utdallas.edu.

Pre-approved Testing Services:

The testing services approved to administer proctored exams are:

  1. Official testing center/office at a university, community college or other academic institution. (Libraries are not approved testing facilities).

  2. Learning and testing centers like Sylvan Learning/Prometric.

  3. The Education Office at a military installation.

Alternative Testing Services:
If attending a proctored exam at one of the above locations is not possible, students may request an alternative testing facility. This must be approved in advance by the eLearning Office. Please email proctoredexam@utdallas.edu with the intended proctor and facility information for approval. Exam proctors must not have any family or personal relationship with the student.

Procedures for Arranging an Individual Proctored Exam:

Students who need to make individual arrangements for a proctored exam using a testing service, must follow these procedures:

  1. Find a testing service that is willing to proctor your exam. See locations that have previously been used by our online students. (If you find other facilities that meet the requirements, you may use them as well).

  2. Inform the course instructor and proctoredexam@utdallas.edu that a proctored final will be arranged with a testing service. Do this before the date specified in the course syllabus. Please provide the testing center's name, location and proctor information. When using a non pre-approved alternative testing service, the SOM eLearning office will determine and inform the student as to the acceptability of the site.

  3. To complete a Proctored Exam Application, go to http://jindal.utdallas.edu/eLearning/proctor/examForm.php. Please complete all information in the required fields. You may use one application for multiple courses. Please list all the exams you are going to take. Once you have completed this part of the application, it will automatically be sent to the proctor for him/her to complete the rest of the form. Both the student and the proctor must complete the application. An email will be sent to the student and the proctor acknowledging receipt of the completed application.

  4. After receiving the exam form, the eLearning Office will contact the testing center via email and provide information on how to download the exam 5 - 7 days before the start of the exam time window. Once the email is received, the proctor will log in to our system to download the exam and print out a hardcopy. You will take the test using this hardcopy. An exam cover letter containing exam proctoring instructions and an exam certificate will be included in the downloadable file.

  5. If an exam requires a "Scantron Answer Form" for answering questions, students should acquire it beforehand and bring it to the exam site. The Scantron Form No. 882-E is to be used unless otherwise indicated. Scantron forms are available at the UTD Bookstore or "Off-Campus Books". For distance students, you may check with local college/university bookstores. You can also order them from "Off-Campus Books" (email to: usedbooks@offcampusbooks.com, or call: 972-907-TEXT (8398).

  6. Students are responsible for scheduling the exam with the exam proctor and paying all applicable proctoring fees, including any mailing fees for the return of the exam.

  7. Take the exam as scheduled (within the required exam time window) at the testing location under the supervision of the proctor. The student will need to show a photo ID to the proctor.

  8. Both the student and the proctor will sign a document upon finishing the exam to certify that the examination has been administered and completed in accordance with the identified regulations. The proctor must mail the exam back to the SOM eLearning Office immediately. Our mailing address is included in the exam certificate letter sent to the proctor:

    UTD eLearning Department
    P.O. Box 830688, SM27
    Richardson, TX 75083-0688

Students may arrange with the proctor for the express returning of the exam if necessary: Street Address for express courier is:

    UTD eLearning Department
    SOM 2.231
    800 W. Campbell Road, SM27
    Richardson, TX 75080-3021

Proctors may also fax back a copy of the completed exam to the UTD elearning Department. Please make sure the exam is received at our office by the deadline specified in each course syllabus to allow timely grade reporting.
