Hiring Procedures

If a candidate has been identified for the temporary position:

 

Step Action Responsible Party
* Additional information required to create an ePAR [Electronic Personnel Action Request] for a new employee: Address, Date of Birth, Social Security Number
1 Complete the Classified Temporary Hiring Proposal (PDF [Portable Document Format File] , 1.55MB) (THP [Temporary Hiring Proposal] ) form and route for approval signatures. HM [Hiring Manager] or Department Designee

Forward to the Employment Specialist:

(a) the completed THP [Temporary Hiring Proposal]

(b) candidate’s resume demonstrating how the candidate meets the minimum qualifications of the position.

HM [Hiring Manager] or Department Designee
3 Review and approve THP [Temporary Hiring Proposal] . Assign THP [Temporary Hiring Proposal]  #. ES [Employment Specialist]
4 Initiate Criminal Background Check (CBC [Criminal Background Check] ). ES [Employment Specialist]
5 Upon CBC [Criminal Background Check] clearance, contact the Hiring Manager and guide through the completion of the hire. ES [Employment Specialist]
6 Extend the offer – salary is at Hiring Manager’s discretion based on candidate’s qualifications, department’s budget, and internal equity. HM [Hiring Manager] or Department Designee
7 Notify onboarding specialist of temp’s start date. HM [Hiring Manager] or Department Designee
8 Onboarding of new Temporary Employee (I-9/e-verify, HR [Human Resources] new employee paperwork). HR [Human Resources] Onboarding Specialist
9 Schedule for New Employee Orientation, if Temp-Benefits Eligible (Job Code C09997). HR [Human Resources] Onboarding Specialist
10 Initiate the ePAR [Electronic Personnel Action Request] if new or rehire employee * [Requires additional information: Address, Date of Birth, and Social Security Number] . Human Resources
11 Initiate the ePAR [Electronic Personnel Action Request] if current employee. Department
12 Start Temporary Employee after CBC [Criminal Background Check] is cleared and I-9/e-verify is completed. HM [Hiring Manager]

If a formal search (posting) is required for the temporary position:

4 Contact the HM [Hiring Manager] and guide through completion of the posting. ES [Employment Specialist]
5 Intiate and complete the search and interview process. HM [Hiring Manager]
6 Select temporary employee. Create Hiring Proposal on PA7 [PeopleAdmin 7] . HM [Hiring Manager]
7 Initiate Criminal Background Check (CBC [Criminal Background Check] ) via PA7 [PeopleAdmin 7] . ES [Employment Specialist]
8 Upon CBC [Criminal Background Check] clearance, contact the Hiring Manager and guide through the completion of the hire. ES [Employment Specialist]
