Assistant Director of Records and Registration

Summary:

Function & Scope: Responsible for the maintenance, accuracy, and security of all student academic records.

Essential Functions:

Typical Essential Functions include but are not limited to the following:

  • Oversee operations of the daily activities in the Registrar's office by providing supervision for administrative and classified staff, as well as student workers.
  • Oversee maintenance of student academic history record, including grades, grade changes, enrollment verifications and transcript processing.
  • Oversee records retention processes and procedures as well as all Registrar forms processing.
  • Develop office procedures manual for processes in Registrar's office.
  • Work with academic departments, chairs and deans to resolve registration issues and complete enrollment procedures to provide a seamless registration process.
  • Implement and interpret policies.
  • Provide leadership and set a high standard of professionalism for designated area by providing high quality customer service not only to students and the general public but also to divisional and university staff.

Marginal Functions:

  • Assist Registrar with special projects including serving on committees, providing project analyses and research and preparing documents and reports; other duties as assigned.
  • Serve as member of the administrative team to coordinate the academic calendar, strategic plan and annual report; serve on interview committees and input catalog changes.
  • Serves as a member of the Registrar’s office staff in commencement exercises, and events such as but not limited to, grade day, registration, orientation, and transfer expo.
  • Performs other duties as assigned.

Supervision:

Received: General direction – Receives guidance in terms of broad goals and overall objectives and establishes own methods to attain goals. Only final results are reviewed.

Given: Close supervision to new clerical employees, general supervision of advanced clerical personnel who in turn may supervise others.

Education:

Required: Bachelor's degree in a related discipline.

Preferred: N/A

Experience:

Required: Four years experience in higher education; or equivalent combination of education and experience.

Other Knowledge, Skills, and Abilities:

Knowledge of the processes and procedures associated with the registrar. Knowledge of student records, registration, and computer technology. Ability to supervise, train staff, organize and prioritize workload.

Special Job Requirements (such as hours, accuracy, special equipment and/or working conditions):

Maintenance of records and information given must be extremely accurate.

Other:

If this is a supervisory position, the incumbent is expected to complete required supervisory training; orient, train and develop subordinates; provide appropriate coaching, guidance and supervision to subordinates; and complete annual performance evaluations.

Specific job requirements or physical location of some positions allocated to this classification may render the position security sensitive; thereby subject to the provisions of Section 51.215 Texas Education Code.

Responsible for duties as assigned relating to internal controls including safe-guarding of department assets, reliability of department financial information, and compliance with applicable laws, regulations, policies and procedures.
