Graduation Counselor II

Summary:

Function & Scope: To provide professional knowledge, advice, and counseling skills regarding the institutional student graduation process. Responsible for supervision and counseling and for all aspects of routine and non-routine graduation policy, and procedure requirements.

Essential Functions:

Typical Essential Functions include but are not limited to the following:

  • Supervises the processing of all undergraduate degree plans and applications for graduation.
  • Counsels students on graduation requirements, deficiencies in grade points, and various problems.
  • Determines that degree requirements are fulfilled for graduation as well as verifying that candidates meet honors designation requirements.
  • Issues permits for early Registration to qualifying seniors.
  • Informs Deans and departments on interpretation, requirements, substitutions and waivers of particular degree plan activities.
  • Keeps abreast of changing state regulations concerning degree plans.
  • Manages computerized audit degree system and updates main file.
  • Composes correspondence of a complex nature, orders and inspects diplomas.
  • Assists in arranging undergraduate commencement exercises.
  • Prepares reports and survey questionnaires.

Marginal Functions:

Performs other duties as assigned.

Supervision:

Received: General supervision from Director of Student Records.

Given: Frequent supervision of Degree Plan Evaluator I’s and II’s and student workers in maintaining work flow progress and quality. Make recommendations to Director on hiring new staff.

Education:

Required: Bachelor’s degree.

Preferred: N/A

Experience:

Required: Five years of experience counseling students in academic and scholastic matters, with a broad knowledge of institutional graduation requirements.

Preferred: N/A

Other Knowledge, Skills, and Abilities:

Computer proficiency.

Special Job Requirements (such as hours, accuracy, special equipment and/or working conditions):

Accurate in all phases of graduation process and degree plan evaluation.

Other:

If this is a supervisory position, the incumbent is expected to complete required supervisory training; orient, train and develop subordinates; provide appropriate coaching, guidance and supervision to subordinates; and complete annual performance evaluations.

Specific job requirements or physical location of some positions allocated to this classification may render the position security sensitive; thereby subject to the provisions of Section 51.215 Texas Education Code.

Responsible for duties as assigned relating to internal controls including safe-guarding of department assets, reliability of department financial information, and compliance with applicable laws, regulations, policies and procedures.
