Assistant Director of Business Operations and Customer Relations

Summary:

Function & Scope: To assist the administrator of a sizable department with a large volume of complex work processes, and to supervise a clerical staff in the operation of the department, exercising a high degree of initiative and judgment.  To provide financial oversight of a large complex budget as well as provide financial reports and statistics as needed.  Responsible, with little supervisory direction for many complex office decisions in a sizeable department, and for supplying financial and other factual information from a variety of sources, for establishing customer relation programs.

Essential Functions:

Typical Essential Functions include but are not limited to the following:

Performs a variety of supervisory and managerial duties such as, but not limited to the following: 

  • Financial management, including internal and external reports.
  • Management of work order system and billing.
  • Management of buyers.
  • Oversight of Administrative Assistant responsible for processing all Human Resources forms.
  • Manage customer relations with UTD campus through service accounts.
  • Management of clerical staff.
  • Oversight of Facilities Management Stores and inventory.
  • Oversight of Garage Services department including fleet management.

Marginal Functions:

  • Performs other duties as assigned.

Supervision:

Received: General Supervision:  Incumbent develops own ways to effectively perform a variety of duties or performs complex duties within established policy guidelines; responsible for a defined set of assignments, expected to determine and create procedures to set priorities and meet goals.

Given: Supervises administrative staff, buyers, and garage.

Education:

Required: Bachelor’s degree.

Preferred: Bachelor’s degree in business administration.

Experience:

Required: Two years accounting experience, and three years of office management supervisory experience.

Preferred: Five years of office management supervisory experience, and four years accounting experience.  Experience in computer systems implementations a plus.

Other Knowledge, Skills, and Abilities:

Work requires the exercise of considerable judgment in the interpretation of policy and/or the application of procedures and practices to work problems.  Decisions and commitments usually involve major problems.  Over 25% of the working time is devoted to contacts with others outside the Purchasing Office which involve the explanation of facts, policy, and procedures relating to the procurement process.

If this is a supervisory position, the incumbent is expected to complete required supervisory training; orient, train and develop subordinates; provide appropriate coaching, guidance and supervision to subordinates; and complete annual performance evaluations.

Specific job requirements or physical location of some positions allocated to this classification may render the position security sensitive; thereby subject to the provisions of Section 51.215 Texas Education Code.

Responsible for duties as assigned relating to internal controls including safe-guarding of department assets, reliability of department financial information, and compliance with applicable laws, regulations, policies and procedures.

Any qualifications to be considered as equivalents, in lieu of stated minimums, require the prior written approval of the Assistant Vice President, Human Resources Management.
