Summary:
Function & Scope: Provides the administrative and technical skills necessary to administer inventory control of all University Fixed Assets. Is responsible for maintaining records relative to receipt, distribution, accountability and disposition of all permanent moveable State and U.S. Government equipment in University Administrative Units. Maintains all financial and inventory records, communicates, coordinates and reconciles information with the State Property Accounting System (SPA), the UTD Financial System (FINS), and the UTD Logical Tracking System (LTS).
Essential Functions:
Typical Essential Functions include but are not limited to the following:
- Originates directives and correspondence relative to matters involving property administration.
- Verifies proper classification of fixed and controlled assets.
- Supervises the assignment and affixing of inventory tag numbers; supervises the supply of information for establishment of accountable equipment on inventory records through the use of a computerized commercial application.
- Maintains warehousing and surplus equipment inventory and records.
- Supervises the distribution and redistribution of equipment; maintains historical files on all State and Government equipment.
- Coordinates with the Responsible Department Authorities for the verification/reconciliation of annual inventory reports.
- Maintains/updates physical space inventory with the use of (LTS) computerized commercial application.
- Generates departments’ annual Property Inventory lists from the database; mails list and cover letter/instructions to departments.
- Prepares annual and periodic property inventories for the reporting requirements to the State Property Accounting system and the U.S. Government (NASA) and others as needed.
- Prepares quarterly reconciliation by requesting operations to run FRSR4384.
- Coordinates the preparation of surplus inventory sales, record updating for the removal of equipment from inventory; and conducts sight audits for inventories of equipment.
- Verify/reconcile the expenditure allocations for capital equipment, fixed assets, infrastructure values and depreciation cost assignment.
- Report the capitalized equipment financial information to the UTD Controller and the State Property Accounting system.
- Provide ad-hoc reports using Access, SQL queries and Excel based on department requests.

Supervision:
Received: Direct supervision received from the Contracts & Services Manager through direct communication and the review of inventory reports and records.
Given: Directly supervises all personnel employed in Property Administration.
Education:
Required: High school graduate, some college course work plus training in computer application and tools.
Preferred: N/A
Experience:
Required: Background in commercial computer systems, accounting applications and property related experience would be a plus.
Preferred: N/A
Other Knowledge, Skills, and Abilities:
Knowledge of computer equipment capabilities, MS Outlook, MS Word, MS Access, SQL, MS Excel and the use of calculator and personal computer.
Special Job Requirements (such as hours, accuracy, special equipment and/or working conditions):
Property related certificates would be a plus. Ordinary office working conditions. Occasional exposure to outside weather. Special assignments may involve some additional hazards. May require lifting and moving equipment.
Other:
If this is a supervisory position, the incumbent is expected to complete required supervisory training; orient, train and develop subordinates; provide appropriate coaching, guidance and supervision to subordinates; and complete annual performance evaluations.

Responsible for duties as assigned relating to internal controls including safe-guarding of department assets, reliability of department financial information, and compliance with applicable laws, regulations, policies and procedures.
