Shipping and Receiving Manager

Summary:

Function & Scope: Provide administrative and supervisory skills necessary to manage functions related to the inbound and outbound flow of packages and mail pieces through the University campus.

Essential Functions:

Typical Essential Functions include but are not limited to the following:

  • Supervises and coordinates activities of personnel involved in materials receiving and shipping functions, such as verification and maintenance of receiving and shipping records, and preparation of items for shipment.
  • Supervises activities of personnel involved in mail receiving and distribution functions, such as the sorting and delivery of mail sent through the U.S. Postal Service, and through the on-campus mail services.
  • Determined shipping priorities, work assignments, and shipping methods required to meet schedules.
  • Instructs staff in procedures and techniques.
  • Reviews work of staff to assure that standards are being met and guidelines being followed.
  • Ensures accuracy, completeness, and condition of shipments and mail pieces. Determines legal load limits according to weight limits.
  • Inspects loading and unloading operations to ensure compliance.
  • Prepares daily staffing and activity reports.
  • Interviews applicants and makes recommendations for hiring.
  • Handles complex questions or problems regarding departmental policies and procedures.
  • Identifies appropriate internal controls for department; provides mechanisms to monitor and enforce compliance.

Received: General Supervision: Incumbent develops own ways to effectively perform a variety of duties or performs complex duties within established policy guidelines; responsible for a defined set of assignments, expected to determine and create procedures to set priorities and meet goals.

Education:

Required: Associate's degree or equivalent

Experience:

Required: 5 years of experience in the procurement, storage, issue of and accounting for property; one year supervisory experience.

Other Knowledge, Skills, and Abilities:

Use of computers and office machines, ability to help department determine needs; extreme reporting accuracy. Ability to work cooperatively, delegate as necessary, and deal with others with tact and diplomacy.

If this is a supervisory position, the incumbent is expected to complete required supervisory training; orient, train and develop subordinates; provide appropriate coaching, guidance and supervision to subordinates; and complete annual performance evaluations.

Specific job requirements or physical location of some positions allocated to this classification may render the position security sensitive; thereby subject to the provisions of Section 51.215 Texas Education Code.

Responsible for duties as assigned relating to internal controls including safe-guarding of department assets, reliability of department financial information, and compliance with applicable laws, regulations, policies and procedures.

Any qualifications to be considered as equivalents, in lieu of stated minimums, require the prior written approval of the Assistant Vice President, Human Resources Management.
