How To... Set Up Outlook Spam Filtering

This will walk you through setting up spam redirection so that spam does not end up in your inbox. The UTD e-mail system filters all incoming e-mail and determines if it is spam or not based on a threshold. Accordingly, the e-mail system “tags” the e-mail as spam or not spam before it hits your inbox. This process allows you to create a rule in Outlook that will detect if the e-mail coming to your inbox is “tagged” as spam or not spam. If a message is “tagged” as spam, the rule will redirect that message to the “Junk E-mail” folder, and if the message is not spam, it will end up in your inbox.

  1. Open Outlook and click on Tools > Rules and Alerts.

  2. The Rules and Alerts box will open. Click on New Rule.

  3. Select Start from a blank rule, make sure Check messages when they arrive is selected and click Next.

  4. Select with specific words in the message header, and click on specific words.

  5. Enter X-Spam-Flag: YES exactly as shown, then click Add.

  6. Now you will see the entered text in the Search list. Click OK.

  7. Click Next to proceed.

  8. Proceed to Step Two.


  1. Select move it to the specified folder, then click specified folder.

  2. Select the Junk E-mail folder then click OK.

  3. Now scroll down to the option stop processing more rules and select it. Click Next.

  4. This step is to exclude any incoming e-mails from this rule. We recommend not selecting anything in this window unless you want specific e-mails to be excluded. Click Next.

  5. Proceed to Step Three.

  1. Now make sure that Turn on this rule is selected. If you would like to run this rule on existing e-mails select Run this rule now on messages already in “Inbox”. Click Finish.

  2. If you selected the option Run this rule now on messages already in “Inbox” in the previous step, you will see the progress of the rule running on e-mails in your Inbox.

  3. Now you have completed the Rules Wizard. To save changes, click Apply and then OK.
