Frequently Asked Questions |
If you need to make a return and need CRMS
to pick it up the item, each department
will need to follow these directions: |
Staples – Each person is responsible for emailing Staples at ediversitysupport@staples.com and explain the item that will be returned. Because of the new system, you will need to place another order if the item is still needed. The person then needs to contact CRMS at ext. 2779 or email CRMS@utdallas.edu.
FedEx, UPS, DHL, Freight – Each department is responsible for the return label. If there is a package going back and an airway bill is provided, contact CRMS at ext. 2779 or email CRMS@utdallas.edu. If you use EshipGlobal to return the item, CRMS will receive an email. If you need the carrier to go to your location to pick up an item, be sure to put a valid phone number and time that the item can be retrieved.
Each department is responsible for packaging the returns for shipment. It is best to tape the items twice for best protection of the item. We recommend that boxes be cross taped to secure contents. If a department needs supplies, CRMS can furnish FedEx, UPS, and DHL envelopes and label holders as well as Certified labels and Return receipts, but the budget does not afford for boxes and packaging materials.

| Question: |
The Post Office is closed, will my mail still be sent out? |
| Answer: |
Well, Yes and No. We can only send out limited mail when the post office is on holiday. The presort company that handles the discounted mail will pick up the mail from us, but they can only run some of it. The rest has to be sent to the post office for processing. If the presort company is closed, the mail will then have the next business day's date on the mail piece. Express, Certified, Insured, Delivery Confirmation, and Registered Mail will not be processed until the next business day.

| Question: |
When is the last call for pickups? |
| Answer: |
3:15 is the official cut off time for picking up mail and parcels. In case of an emergency, you may call for a pick up after the deadline. However, we are in a time restraint on how long we have to send out parcels and mail therefore we may not be able to retrieve it until tomorrow. For express parcels, there is a UPS box and a FedEx box on the "Island" between parking lots A and B. For USPS mail, there is a USPS receptacle on the Island as well. |
| Question: |
May I put my personal mail in the mail pick up box? |
| Answer: |
No. It is against policy to use state funds for personal activities. Read Policy HERE. |

Messages From United States Postal Service |
Question: I received a message from the US Postal Service stating:
"We attempted to deliver your item at ??:?? AM on "insert date". The delivery attempt failed because nobody was present at the shipping address, so this notification has been automatically sent.
You may arrange redelivery by visiting the link below or pick up the item at the U.S. Post Office indicated on the receipt.
If the package is not scheduled for redelivery or picked up within 48 hours, it will be returned to the sender."
What should I do and why was there no one there to accept?
|
Answer: The University of Texas at Dallas pays the US Postal Service to hold the university's mail so that we can retrieve the mail and distribute it at the same time every day. Left to their own wishes, the US Postal Service would delivery between 8am and 5pm with no specified delivery. With this arrangement, we can more efficiently distribute the mail on campus. Mail Services retrieves the mail from the post office every morning Monday through Friday between 7am and 8am. If your mail piece was received by the post office after this time, they will send a notice stating that the post office attempted to deliver and there was no one there to receive the package. They do this to show that they have attempted delivery for their records. They in no way come to the main campus and attempt to deliver. They will deliver to the apartments and Residence Hall but will not deliver to the main campus address. The customer may either wait until the next day when Mail Services attempts to retrieve all the parcels and mail from the post office, or they can take the slip to the post office and ask if the piece can be retrieved before then.
